Toyota Fleet Management is Changing Systems

Dear Fleet Customer,
We're pleased to announce Toyota Fleet Management (TFM) will be changing to our new Fleet Management system from 6th October 2011.
This new system will allow us to deliver greater efficiences for all customers through a range of market leading finance and fleet management services. Here are some of the improvements that are available:
- Improved management and delivery of FBT and Fuel Card reporting
- New CO2 reporting and ETag management services
- New fully maintained products including Term Purchase, Finance Lease and Novated Operating Lease
- Improved Mini Lease and Fuel Card services
As a result of the changeover there'll be some changes to our services you need to consider:
Fleet Management and Contract Administration
From close of business Friday, 30th September to Wednesday, 5th October there will be disruption to some of our normal services. We?ll be unable to provide some services including Fleet & Novated Online web service, quotations, early termination or terminating of vehicles during this period.
Invoicing
Our new system will provide you with improvements in the invoicing process. For example, it will simplify your finance and fleet management expenses by consolidating most costs into one invoice.
You'll receive your first invoice from the new system in October and this will be delivered via email or fax - paper invoicing will no longer be available.
The format of the invoices will also be changing. Excel CSV invoice files have been updated and they will now have some additional fields which may have an impact on you.
You should also note, you may receive an invoice for transactions that missed the previous invoice run for the period up to 30th September from the old system.
Customer Identification Numbers
The system will generate new Customer & Contract identification reference numbers and these will be included on your first new invoice in October.
If you are using automated system processes to upload our Excel CSV files or invoicing to your system you need to check compatibility.
Bank Account Number
Our Bank Account for payment of invoices should be directed to our TFM bank account which is:

If you're currently using other TFM bank account numbers, we ask that you update your records now and commence payments to this account.
It's only the beginning
During the next two months we'll provide more information about our new Fleet Management System, including details on the enhanced Fleet and Novated Online web portals.
